Executive Assistant

The goal of this role is to enhance operational efficiency and support the CEO and CRO by managing routine tasks and facilitating communication, allowing them to focus on strategic decision-making and business growth.

This person is a proactive, detail-oriented individual who possesses strong organizational skills and the ability to multitask effectively. They are adaptable, tech-savvy, and possess excellent communication skills, with the potential to grow into a leadership role within the company.

Qualifications:

  • Excellent English written and verbal communication abilities
  • Proficient with email and Google Docs
  • Great attention to detail and time management skills
  • Takes initiative and seeks opportunities to improve
  • 99%+ Internet and Power Uptime
  • Willing to work US Central hours starting at 8am, Monday-Friday
  • Must love technology including ChatGPT/Claude and AI tools
  • (Nice to have) Experience with Obsidian, Zapier, podcasting, automation, recruiting, or AI

Objective: Take Accurate Meeting Notes

Attend meetings with the executive in order to take detailed notes and assist with project updates as well as meeting follow up.

Objective: Maintain Orderly ClickUp Project Tracking /w Meeting Notes

Ensure all projects are accurately tracked in ClickUp, with all meeting notes documented and accessible.

Objective: Maintain Accurate CRM/Pipeline /w Meeting Notes

Keep the CRM and sales pipeline updated, ensuring all interactions and meeting notes are accurately recorded.

Objective: Coordinate Executive’s Schedule

Work with internal team to ensure meetings are booked or adjusted on the executive’s calendar.

Role Responsibilities

Quarterly

  • Review and optimize administrative processes for efficiency.
  • Prepare and assist in the execution of quarterly strategic planning sessions.

Monthly

  • Compile and present a monthly report of operational metrics.
  • Coordinate and schedule monthly team meetings and follow-ups.
  • Review and coordinate new job postings for the month.

Weekly

  • Organize meeting agendas and ensure that follow-up actions from meetings are implemented.
  • Review upcoming week’s calendar to prioritize tasks and meetings for the executive team.
  • Sync with executive team to ensure priorities are aligned

Daily

  • Achieve Inbox 0, ensuring prompt responses and organized follow-ups.
  • Update ClickUp with the day’s progress and any new tasks, action items, or meeting notes.
  • Maintain CRM with the latest interactions and ensure pipeline accuracy.
  • Attend Meetings and take notes with executive
  • Transcribe and Format Voice Memos
