HubForJobs is hiring for a motivated individual who’ll function as an executive assistant/social media manager. Here’s what you need to know about the role:
Responsibilities:
Calendar & Schedule Management:
- Manage the executive’s calendar, scheduling appointments, meetings, and travel with excellent time management skills.
- Proactively identify scheduling conflicts and propose solutions.
- Maintain a clear understanding of the executive’s priorities and adjust the schedule accordingly.
- Prepare and distribute meeting agendas and minutes, ensuring timely follow-up on action items.
Travel Arrangements:
- Arrange domestic and international business travel, including flights, hotels, car rentals, and visas, ensuring all details are confirmed and documented.
- Research and recommend travel options based on the executive’s preferences and itinerary.
- Monitor flight changes and proactively communicate any updates to the executive.
Communication & Correspondence:
- Serve as the first point of contact for the executive, handling incoming calls, emails, and inquiries professionally and efficiently.
- Draft and proofread emails, letters, presentations, and other documents according to the executive’s style and company guidelines.
- Manage the executive’s inbox, prioritizing messages, and composing responses as needed.
Project Management & Administration:
- Assist with managing and coordinating ongoing projects assigned by the executive.
- Prepare reports, presentations, and other materials as required.
- Maintain an organized filing system for physical and digital documents.
- Manage office supplies and equipment.
- Arrange office logistics for in-person workdays.
Additional Responsibilities:
- Anticipate the executive’s needs and proactively provide solutions and support.
- Conduct internet research and gather information for the executive.
- Maintain confidentiality and discretion in all matters related to the executive and the company.
- Stay up-to-date on new technologies and tools relevant to the role.
- Perform other duties as assigned.
Qualifications:
- Minimum 1-2 years of experience as an Executive Assistant or similar role.
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Excellent communication, written and verbal, with impeccable grammar and punctuation.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software programs.
- Ability to work independently and take initiative while also being a strong team player.
